1. Introduction

This Refund & Cancellation Policy explains how cancellations, refunds, failed payments, subscription renewals, and lifetime deal refunds work for PartPlanner.

PartPlanner is provided by Pattform Ltd and may be described publicly as “PartPlanner by Pattform Ltd”.

In this policy, “PartPlanner”, “we”, “us”, and “our” mean Pattform Ltd, trading through the PartPlanner product or brand. “You” and “your” mean the customer, account holder, team owner, business, organisation, or person using or purchasing PartPlanner.

This policy forms part of our Terms of Service.

2. Paid Access

PartPlanner is a paid product. There is no public free plan.

To create or use a production team, your team must have one of the following:

  • An active paid subscription;
  • A valid lifetime licence;
  • An explicit admin-granted beta entitlement;
  • Another entitlement approved by Pattform Ltd.

If your payment fails, subscription expires, refund is processed, chargeback occurs, or entitlement is removed, your team access may be restricted, suspended, or cancelled.

3. Payment Provider

Payments are processed by Stripe or another payment provider we may use in the future.

Stripe may be used for:

  • Checkout;
  • Subscription billing;
  • Payment method management;
  • Invoices and receipts;
  • Failed-payment handling;
  • Refunds;
  • Customer billing portal access.

We do not store full card numbers or full payment card details on our own systems.

4. GST and Taxes

At launch, Pattform Ltd is not registered for GST and does not charge GST on PartPlanner prices.

Unless this changes, prices displayed for PartPlanner do not include a GST component, and no GST is charged or collected by Pattform Ltd.

If Pattform Ltd becomes required or chooses to register for GST, VAT, sales tax, or another applicable tax in the future, we may update pricing, invoices, tax wording, checkout flows, and this policy.

5. Subscription Plans

PartPlanner may offer monthly and annual subscriptions.

Unless stated otherwise at checkout:

  • Monthly subscriptions renew each month until cancelled;
  • Annual subscriptions renew each year until cancelled;
  • Subscriptions are charged in the currency shown at checkout;
  • Subscription access applies to one PartPlanner team unless we agree otherwise;
  • Subscription fees are charged in advance for the relevant billing period.

Current prices, plan details, and billing periods will be shown on our website, pricing page, checkout page, or billing portal.

6. Automatic Renewal

PartPlanner subscriptions renew automatically unless cancelled before the next renewal date.

By purchasing a subscription, you authorise us and our payment provider to charge your selected payment method for recurring subscription fees.

You are responsible for keeping your payment method, billing email, and billing details up to date.

7. How to Cancel a Subscription

You can cancel your subscription through the Stripe Customer Portal or another billing management flow we provide.

If you cannot access the billing portal, contact us at:

Please contact us before your renewal date if you need help cancelling. Sending a cancellation request after a renewal charge has already occurred does not automatically entitle you to a refund for that renewal.

8. What Happens After Cancellation

If you cancel a monthly or annual subscription, your team will generally keep access until the end of the paid billing period.

After the paid billing period ends:

  • Your team entitlement may expire;
  • Access to production team features may be restricted;
  • Team members may lose access to paid features;
  • Your data may be retained, deleted, archived, or made available for export according to our Terms of Service, Privacy Policy, and operational processes.

Cancelling a subscription stops future renewal charges. It does not automatically refund fees already paid for the current billing period.

9. Monthly Subscription Refunds

Monthly subscription fees are generally non-refundable once the billing period has started.

We may consider a refund where:

  • You were charged because of a clear billing error caused by us;
  • You were charged twice for the same team and billing period;
  • You were unable to access PartPlanner due to a serious issue caused by us;
  • We are required to provide a refund under applicable law;
  • We decide, at our discretion, that a refund is fair in the circumstances.

We generally do not provide refunds for:

  • Change of mind;
  • Not using the service after purchase;
  • Forgetting to cancel before renewal;
  • Deciding the product is no longer needed;
  • Choosing the wrong plan where the service was still available;
  • Issues caused by your device, internet connection, browser, account setup, team configuration, or third-party systems outside our control.

10. Annual Subscription Refunds

Annual subscription fees are generally non-refundable once the billing period has started.

Annual subscriptions are discounted compared with paying monthly. Because of that, we do not usually provide partial refunds for unused months if you cancel part way through an annual billing period.

We may consider a full or partial refund where:

  • You were charged because of a clear billing error caused by us;
  • You were charged twice for the same team and billing period;
  • You were unable to access PartPlanner due to a serious issue caused by us;
  • We are required to provide a refund under applicable law;
  • We decide, at our discretion, that a refund is fair in the circumstances.

If you cancel an annual subscription, your team will generally keep access until the end of the paid annual period unless access is suspended or terminated under our Terms of Service.

11. Lifetime Deal Refunds

PartPlanner may offer a founding lifetime deal or other lifetime licence.

Unless the specific offer page says otherwise, lifetime deal purchases have a 14-day refund window from the date of purchase.

A lifetime deal refund request must be received within 14 days of purchase.

After the 14-day refund window, lifetime deal purchases are generally non-refundable unless:

  • We are required to provide a refund under applicable law;
  • You were charged because of a clear billing error caused by us;
  • The purchase was duplicated by mistake;
  • We decide, at our discretion, that a refund is fair in the circumstances.

If a lifetime deal is refunded:

  • The lifetime entitlement will be removed;
  • The related team may lose paid access;
  • Continued use may require purchasing a subscription or another valid entitlement.

12. Meaning of Lifetime Deal

Unless stated otherwise on the offer page, a lifetime deal:

  • Applies to one PartPlanner team;
  • Provides access to the core PartPlanner team plan;
  • Is subject to fair use, technical, security, and operational limits;
  • Is not transferable without our written approval;
  • Does not automatically include future premium modules, paid add-ons, third-party paid integrations, marketplace fees, managed services, custom development, or professional services;
  • May be suspended or terminated if you breach our Terms of Service.

“Lifetime” means the lifetime of the PartPlanner product or service as operated by Pattform Ltd. It does not mean the lifetime of the customer, founder, company, brand, wider Pattform platform, or any individual feature.

13. Failed Payments

If a subscription payment fails, Stripe or our payment provider may automatically retry the payment.

We may also:

  • Notify you about the failed payment;
  • Ask you to update your payment method;
  • Apply a grace period;
  • Restrict team access;
  • Suspend paid features;
  • Cancel the subscription;
  • Mark the team entitlement as past due, expired, or cancelled.

We are not responsible for losses caused by failed payments, expired cards, insufficient funds, bank declines, incorrect billing details, or failure to update your payment method.

14. Chargebacks and Payment Disputes

If you raise a chargeback or payment dispute with your bank or payment provider, we may suspend the related account, team, subscription, or entitlement while the dispute is investigated.

Chargeback abuse, fraudulent payment activity, or repeated disputed payments may result in account suspension or termination.

We will try to resolve the issue directly where practical.

15. Promotional Codes, Discounts, and Admin Grants

From time to time, we may offer promotional codes, discounts, founding offers, beta access, or admin-granted entitlements.

Unless stated otherwise:

  • Promotional codes apply only to the period or purchase shown at checkout;
  • Discounts do not apply retroactively;
  • Discounts may expire or be withdrawn;
  • Beta or admin-granted access may be revoked at any time;
  • Free or discounted access does not guarantee future free or discounted access.

If a discounted subscription renews, the renewal price will depend on the terms shown at checkout or in the billing portal.

16. Refund Method and Timing

Approved refunds are usually processed back to the original payment method through Stripe or the payment provider used for the purchase.

Refund timing may depend on Stripe, your bank, card provider, payment method, country, and currency.

We cannot guarantee exactly when a refunded amount will appear in your account after we approve and process it.

Bank fees, card fees, foreign exchange fees, or other charges imposed by your own provider may not be refundable by us.

17. Account Linking Issues

PartPlanner uses payment-first onboarding.

If you pay using one email address and sign up using another, your payment may need to be manually linked to your PartPlanner account or team.

Account linking delays do not automatically create a refund right, but we will make reasonable efforts to help link your payment to the correct account or team.

18. Data After Cancellation or Refund

After cancellation, refund, expiry, suspension, or termination:

  • Your team access may be restricted;
  • Paid features may stop working;
  • Team data may remain stored for a period;
  • Inventory export may remain available where technically and commercially reasonable;
  • A full data export may need to be requested manually;
  • Data may later be deleted, archived, or de-identified according to our Terms of Service, Privacy Policy, and operational requirements.

We may require proof that you are the team owner or an authorised admin before exporting team data.

19. Service Issues

If you experience a technical issue, contact us at:

Please include:

  • Your account email;
  • Team name or team slug;
  • A description of the issue;
  • Screenshots, where useful;
  • Approximate time the issue occurred;
  • Steps to reproduce the issue, if known.

We will make reasonable efforts to investigate and resolve serious issues.

A temporary outage, minor bug, planned maintenance, third-party provider issue, or feature limitation does not automatically entitle you to a refund.

20. Consumer and Business Rights

PartPlanner is intended primarily for business and team use.

Nothing in this policy excludes, restricts, or modifies any right, remedy, guarantee, or protection that cannot legally be excluded, restricted, or modified.

Where you have rights under applicable consumer, fair trading, or business laws that cannot be excluded, those rights continue to apply.

Where the law allows us to limit or exclude certain rights for business customers, we may do so in our Terms of Service.

21. How to Request a Refund

Please include:

  • Your account email;
  • Team name or team slug;
  • Stripe receipt or invoice reference, if available;
  • The plan or purchase you are asking about;
  • The reason for the refund request;
  • Any relevant screenshots or details.

We may ask for additional information to verify the request.

We will review refund requests reasonably and in line with this policy, our Terms of Service, and applicable law.

22. Changes to This Policy

We may update this Refund & Cancellation Policy from time to time.

If we make material changes, we may notify you by email, in-app notice, website notice, or another reasonable method.

The updated policy will apply from the effective date shown.

Changes will not usually affect a refund request already validly submitted before the updated policy took effect.
